Coordinator- Global Store Design

The Coordinator for Global Store Design is responsible for administrative and financial work flow throughout the department. This role is critical for the growth of the brand to maintain vendors, vendor relationships and analyze all invoices to ensure correct product and services are received at the expected costs. He/she will liaise with the finance department to ensure that the projections are coordinated internally.

Key Accountabilities

  • Set up new vendors into Medius
  • Receive, review and approve invoices
  • Coordinate payments of suppliers in timely manner as per payment terms
  • Manage and update US and Global invoice tracking to ensure yearly budget is respected
  • Develop vendor approval forms and capex approval forms
  • Coordinate agreements and contracts with consultants/ vendor and finance
  • Interface with supplier/vendors for all administrative and accounting part
  • Follow vendors contracts/agreements with legal
  • Close out projects with vendors
  • Documents required for TA reimbursement
  • Work with finance on forecasting mid-year and end of year closings and special projects if needed
  • update list of regional vendors
  • tracks, analyzes and controls the costs associated with projects
  • update cost plan in partnership with Director of Store Design
  • reconciliation of the costs at the end of each project
  • forecasting expenditures, planning budgets
  • update the global master project sheet and the master schedule
  • update the master file on teams
  • update project status, schedules and calendars

Key Requirements

  • Bachelor’s degree in finance or relevant field strongly preferred
  • Minimum 4 years’ experience working in administrative/financial Store Design Role
  • Exceptionally well organized with an aptitude for data
  • Outstanding communication skills, both written and verbal
  • Solid networking and interpersonal skills
  • Able to generate budgets and reports
  • Strong presentation skills, able to explain concepts concisely and accurately
  • In compliance with the Order of New York City’s Commissioner of Health and Mental Hygiene to Require COVID-19 Vaccination in the Workplace, candidates will need to provide proof of COVID-19 vaccination by their first day of employment.
