Position Purpose

The Administrative Coordinator (AC) is responsible for ensuring the smooth delivery of Summer Academy and other Pre-College planning administrative services. The AC liaises with Faculty, vendors, consultants and SoNYT staff in order to get the best course experiences possible by overseeing all contracts, coordination, relationship management, booking and payment of course activities (e.g. guest speakers and site/field visits). The AC also coordinates off-site activities including logistics, food, materials, petty cash and transportation. Thus, the AC helps SoNYT staff manage its Pre-College programs throughout the program cycle, including planning, implementation and improvement as well as help with any program expansions and/or additions.

The AC tracks deliverables and payments for course activities, ensuring each course is on schedule to meet activity needs and that it is within budget. Thus, the AC needs to create and maintain systems that deliver accurate snapshots and guarantee timely responses to requests.

Essential Duties and Responsibilities

Specific duties and responsibilities include the following, but the individual will also be expected to perform all the duties necessary which are customarily performed by a person holding this position. Other duties may be assigned.

  • Liaise and manage correspondence with Faculty members to compile site visits and guest speakers as needed.
  • Provide outreach and relationship management to schedule speakers, venues or other Pre-College programming needs.
  • Create and maintain systems to ensure timely responses and deliverables related to Pre-College programming.
  • Track contracts, budget expenses and ensure timely payment to Faculty, guest speakers and vendors.
  • Update Faculty information on the web (e.g. headshots, bios).
  • Coordinate off-site logistics, including transportation, food and materials.
  • Work with Residence Life, Admissions & Marketing and other SoNYT Departments to deliver quality administrative services.

  • Excellent verbal and written communication skills – able to communicate directly, concisely and/or diplomatically as required, knowing how, when and what to communicate.
  • PC skills, including demonstrated high proficiency with Microsoft Word, Excel, PowerPoint, Google Drive.
  • Strong organizational and administrative skills with the ability to anticipate, improvise, and adapt for optimal resolutions.
  • Outstanding interpersonal skills, work effectively on a team, maintain composure in stressful situations, and work under deadline pressures.
  • Highly productive, able to work effectively on a variety of projects simultaneously.
  • Maintain confidentiality and can be trusted to manage cash.
  • Ability to be present in the office.

Education, Work Experience and/or Licensure

  • A Bachelor’s degree in a relevant field is required.
  • 2+ years of administrative experience in an office setting with direct experience in relationship management.
  • Education experience is desired but not required.

Language Skills

  • While no special language skills are required for the position, applicants should be capable of upholding the highest standards of written and spoken English.
