Location: New York City (Flat Iron area)
Hybrid schedule – 3 days onsite 2 days remote (First few weeks will be onsite 4/5 days)

As the Executive Assistant, you will be working directly with the CEO, at the core of the company. Working alongside the top manager, you will provide valuable help and support with the day-to-day running of the business, and executing administrative and secretarial tasks. As an Executive Assistant, we expect you to be polyvalent and a brilliant multi-tasker. Problem-solving, organizing schedules, keeping notes, managing time, setting up conferences and meetings, and assisting with travel trips will be part of your daily work routine.

You will be responsible for:

  • Acting as the first point of contact: dealing with correspondence and phone calls
  • Managing schedules and organizing meetings, conferences, and appointments
  • Booking and arranging travel, transport, and accommodation
  • Organizing events
  • Reminding the manager/executive of important tasks and deadlines
  • Typing, compiling, and preparing reports, presentations and correspondence
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers, and clients
  • Collating and filing expenses
  • Conducting research on behalf of the manager
  • Organizing the manager’s personal commitments including travel and informal business encounters

You should have:

  • Excellent leadership, communication and relationship building
  • Curious, adaptable personality that enjoys a dynamic environment
  • High comfort level with international contexts
  • Ability to manage high-pressure environment
  • Teamwork and problem-solving skills
  • Analytical skills and aptitude for innovation
  • Fluency in other languages is considered a plus
